We hope that the Manual will provide you with all the information you need for the successful preparation of your stand at Design in Mental Health 2026.

We have done our best to ensure that the contents are as accurate as possible. If you find an error, please let us know immediately so that we can correct it for other exhibitors.

Please take time to read the Exhibitor Manual carefully, as in addition to assisting your preparations there are a number of requirements that must be met.

The Exhibitor Manual is not designed to replace the personal service provided by Step Exhibitions, or by any of the contractors listed. We are all here to assist with your preparations with as much care and attention to detail as is necessary to provide you with the best possible service for your individual needs.

Beware of fraudulent list vendors and similar scams!

If you receive communications offering lists of data and other “services”, these are fraudulent and do not come from Design in Mental Health. We will never sell our data to third parties.

Typically, the information provided by these entities is inaccurate, incomplete, of subpar quality, or even entirely fabricated. Additionally, it may have been obtained in violation of the General Data Protection Regulation (GDPR).

Any unauthorised use of the names Design in Mental Health, Step Exhibitions, or the DiMH by these entities is illegal is without our authorisation.

We strongly advise against responding to these emails and, under no circumstances, should any payments be made to the associated companies.

If you are ever in doubt of the authenticity of any communication claiming to be from Design in Mental Health, please contact the team.
If you encounter such communications, please notify dimh@step-exhibitions.com promptly so that we can alert others to the potential threat.

BADGES

Exhibitor Badges
Every member of staff who will be working on your stand at the Coventry Building Society during Design in Mental Health must have an Exhibitor Badge to gain access.

Exhibitor Badges will be confirmed electronically and be available for collection from the Registration Desk on-site on Monday’s build-up at the registration desk from 2pm.

We would encourage you to try and collect your passes on the Monday to avoid delay in accessing the event on opening morning.

Exhibitor badges are valid for build-up, the open period of the event and breakdown.

Contractor Access
Contractor staff do not require a pass for build-up and breakdown periods.

BADGE SCANNERS / LEAD RECORDING

All attendees will receive a clearly printed badge containing a unique barcoded registration detail.

Exhibitors have the option to hire lead recording devices from the registration contractor RefTech that will allow them to scan attendee barcodes and digitally collect contact details from delegates and visitors attending their stands during event.

By using Jonas’ lead recording services, exhibitors can scan attendee barcodes to quickly gather and store contact details. This is invaluable for capturing key information to support effective follow-up after on-stand discussions.

Please be aware that whilst all attendees have been advised of the badge policy for Design in Mental Health that it is also your responsibility to ensure that the attendee is aware that, in allowing their badge to be scanned, they are giving you permission to contact them.

BANNERS & RIGGING

Exhibitors can rent banner spaces above their stand, making their site more prominent around the hall.

Please note: All rigging must be approved by the organisers prior to installation. A right-to-rig fee applies, but this does not include on-site rigging services. On-site rigging services must be arranged directly through the venue and will incur an additional charge.

BUILD-UP PROCEDURE

Build-up Loading Bay Vehicle Access

Vehicle Access & Build-Up Guidelines
To access the site, display your vehicle pass clearly on arrival. All vehicles must check in with traffic marshals, who will record your details. Entry to loading bays is based on priority, vehicle size and space. Immediate access is not guaranteed.

Steps for Build-Up Access:
1. Display your exhibitor pass in your windscreen before arrival. Your gate number will be sent to you with your build permissions.
2. Check in with the traffic marshals at the main gate on arrival.
3. Strictly follow the directions of the marshals to either the holding area or loading gates.
4. Once you have been cleared by the marshals into the loading zone, unload as quickly as possible.
5. After unloading, please move your vehicle to the allocated exhibitor parking; Car Park C

Please Note:
Late stands will incur charges. Ensure your design and build schedule fits in with the allocated events timelines. Exhibitors may be contacted based on their stand size, design and complexity to confirm feasibility.

All stand construction must be completed by 16.00 on Monday 1 June and all aisles must be clear of boxes and rubbish to allow laying of carpet.

All stands must be fully completed and ready for open day by 20.00 on Monday 1 June.
The exhibition hall will close at 22.00 on Monday 1 June.

Please ensure you validate your parking for both open days, including each day of build up.

PPE Requirements

Everyone on-site during build-up and breakdown will be required to follow health and safety guidelines. Hi-vis waistcoats or jackets and safety footwear are mandatory while in the exhibition hall. Hard hats will only be needed in specific areas where indicated.

Please make sure to bring your own hi-vis items as these items won’t be available for purchase on-site.

BREAKDOWN PROCEDURE

The breakdown for Design in Mental Health is split into two elements: Soft Breakdown and Hard Breakdown. The aim is to allow exhibitors to remove hand-carry items and materials before full breakdown begins and space-only contractors start dismantling stands.

Soft Breakdown
Soft breakdown will begin once the Exhibition Hall close and all attendees have left the exhibition. This will take place from approximately 16:00. From this time, exhibitors can start removing stand equipment and materials without the need for PPE. Soft breakdown will continue until 18:00.

Please ensure any courier collections are arranged to take place within this timeframe.

Hard Breakdown
From 18:00 onwards, hard breakdown will commence. At this point, all remaining exhibitors must wear appropriate PPE, including a hi-vis waistcoat or tabard and safety footwear.
Hard hats will only be required only in designated hard hat areas.

Important Notes:
Contractors for both space-only and shell scheme stands will begin dismantling at 18:00. Exhibitors with shell scheme stands should remove all display materials promptly after the event closes.

Any items left unattended after the close of tenancy at 22:00 will be removed by the venue and disposed of, with the costs charged to the exhibitor.

Breakdown Loading Bay Vehicle Access

To get your vehicle into the loading bays, you must obtain a vehicle movement pass.
This process will make the breakdown quicker, safer and a more structured experience.
To obtain your pass, please read the following steps:

Break down your stand first – this includes equipment and all content material. This must all be boxed up ready to load.
Go to your allocated loading bay and collect your vehicle movement pass from security.
Your stand will be checked by security and your vehicle movement pass will only be issued, if your stand has broken down fully.
Go to your vehicle with your pass. Place the pass in your windscreen and await the availability of space at your loading Bay.
Please load your vehicle quickly, to allow others to bring their vehicles up.
Once loaded, please depart the venue following the traffic marshals’ directions.

Please note:
The traffic marshals of the Coventry Building Society Arena are there to help you. If any exhibitor or contractor is not compliant, attempts to bypass the procedures in place, or is abusive, then they will not be permitted to bring their vehicle to the loading bay, and will be sent to the back of the queue.

Box Drop-Off/ Tool Drop-Off

The box drop-off/ tool drop-off is available from 12:30 to 14:00 on Wednesday 12 November, at Gate 27. This allows exhibitors and contractors to drop off the items they need for breakdown before the breakdown period begins.

CAR PARKING

As an Exhibitor you are entitled to free car parking for the event, however you must ensure that you either pre-book your parking in advance of your visit, or visit the pay machine on each day inputting you exhibitor code to validate your free parking.
This should be done each day you visit, including both days of build-up.

Failure to register your vehicle will result in you receiving a Penalty Charge Notice (PCN).

Your Car Park Code for this Event is DIMH2026, to pre book and take the hassle out of doing this on the day, please use the link provided.

Disabled Parking
Disabled access parking spaces can be pre-booked via the Exhibition Office. Please contact the Organising Office.

CARPET

All Shell Scheme stands come with standard grey carpeting. Exhibitors who wish to change the carpet colour must contact Full Circle to arrange this.

Any additional costs for carpet changes will be the exhibitor’s responsibility.

Aisle carpets will be installed from 16:00 on Monday, 2 June. To ensure a smooth installation process, please move any items from the walkways to your designated stand area before this time.

CHILDREN

Attendees under the age of 18 are not permitted in the halls at any time during the show build-up, open period or breakdown.

CLOAKROOM

The cloakroom is situated in the atrium at the Coventry Building Society Arena and is open for the duration of Design in Mental Health.

DEADLINES

Please be aware that each service provided by contractors at Design in Mental Health has a specific deadline. While some services may still be available after these deadlines, late bookings could incur additional costs or face limited availability.

DELEGATE PASSES

Exhibitors wishing to get access to the conference programme will require a Delegate Pass which will incur an additional charge.

DELIVERY/ COLLECTION & STORAGE OF MATERIALS

The venue will not accept any deliveries prior to the start of the event on 8 November. Additionally, the venue cannot take responsibility for any items that are damaged or left unattended if an exhibitor is not present to receive them.

To ensure a smooth and secure delivery process, CLS Expo have been appointed as the official contractor to assist with all exhibitor logistics. Their services include:

Advanced Delivery: Ship your items to the CLS Expo warehouse ahead of time and they will deliver them directly to your stand at the Coventry Building Society Arena.

Full Consignment Service: CLS Expo can manage the entire process, collecting items from your office, delivering them to your stand and returning them to your office after the event.

Onsite Lifting & Handling: CLS Expo control all forklift movement for your unload and reload requirements at the venue, please note this must be booked prior to arrival.

Onsite Storage: Storage of packing materials, crates and pallets can be done so through CLS Expo, alternatively this will need to be removed from site.

Collection of Exhibitor/ Stand Materials: Please ensure that any items at the end of the show are taken with you or collected by courier no later than 20.00 on Wednesday 12 November. Please leave items packaged and ready for collection, clearly labelled with the delivery name and address, company name and stand number of the sender and also the name and telephone number of the courier company instructed to collect. Any items not collected will be deemed as waste and disposed of.

Please note that the Organisers will not accept responsibility for any items that are left unattended.

If you are using an external contractor to deliver or collect your items, please inform them of the instructions for gaining access to the loading bays during the build-up or breakdown of the event.

ELECTRICS

Shell Scheme stands do not include any power or lighting, unless you purchased a plus package.
If you have booked a plus package, you will receive the following (per 9m²):
– 1x 500w Electrical Socket
– 1x Fluorescent Tube Light

Items purchased as part of your plus package will be ordered for you, however you will need to specify where on your stand you wish your socket to be located. You can do so by completing the second page of the Electrics Order Form and returning to Bill Moule & Sons.

Electrical Installations
All electrical installations – including “MAIN ONLY’S” must be installed and tested by our official electrical contractor.

Electrical Supplies
The electrical voltage is 230v single phase and 400v three phase. Please be aware an electrical distribution board will be installed on your stand. Incoming main cables will come from the floor.

EVENT POCKET GUIDE

The Event Pocket Guide is an essential resource for all attendees, offering a comprehensive overview of the exhibition, conference programme, and exhibitor details. Every attendee will receive a copy on arrival, helping them navigate the event and plan their activities over the 2-day period.

The guide is not only a key tool during Design in Mental Health but also serves as a valuable reference long after the event has concluded.

Exhibitors can advertise within the handbook to increase visibility, highlight products, and share key messages with delegates. It’s an effective way to engage with both current and potential customers during the event and beyond.

HEALTH & SAFETY

To be compliant with Construction (Design and Management) Regulations, health and safety services and assistance is provided to exhibiting companies by Dime Events.

The services provided include general health and safety enquiries, risk assessment, site induction arrangements, space only stand plan audits and specific event-based health and safety policies and procedures.

To ensure compliance with Construction (Design and Management) Regulations, Exhibitors of Shell Scheme Stands are required to complete and return the following documents by Friday 03 October 2025.

A completed and signed Exhibitor Risk Assessment/ Form 1 – Health & Safety Declaration form

Public Liability Insurance

Space Only Sites

IMPORTANT SPACE ONLY CONTRACTOR INFORMATION

All Contractors are informed that CDM Regulations (2015) are in force and as such site safety principles including but not restricted to site rules, site induction and the mandatory wearing of hi-visibility tabards, safety footwear and hard hats (where appropriate) during the build and dismantle processes will be rigidly enforced by Venue, Health & Safety and Organiser Staff.

Arriving on site without PPE may be costly as contractors will not be allowed into the Hall. This Policy is extended to exhibitors required to enter the Hall during build-up/ construction and breakdown/ dismantling periods.

Please note that the event organiser will not carry any PPE stock so please ensure your staff/ contractors are aware of this mandatory policy.

ALL space only stand contractors are required to submit the following information by Friday 03 October 2025 to phil.fellows@dimeevents.com and vickychapman@step-exhibitions.com.

Proof of PLI (Public Liability Insurance which must be in date for the duration of the tenancy dates of the IBMS Congress).
Visuals of the finished stand design in both side elevation and plan views (including dimensions).
Completed Construction Phase Plan (CPP).
A suitable and sufficient Risk Assessment and Method Statement relating to the build and dismantle phases.
A completed Space Only Submission Form.

Once all plans and documents have been reviewed and agreed upon by both the Organisers and the Health & Safety Officer, provisional approval to build will be granted, and final pre-event documentation will be issued.

INTERNET CONNECTIONS & WI-FI

To order your stand telephone or internet connection, please complete the IT Booking Form available via the buttons on the manual page. Orders should be sent at least one month prior to the exhibition.

There is free wi-fi at the venue, this can however be slow when everyone is using it.

INSURANCE & SECURITY

Whilst every precaution is taken to protect persons and property during Design in Mental Health, neither the organisers nor the Network can accept responsibility for any loss, damage, or injury to the personnel or property of any exhibitor or contractor, however caused. This includes any consequential loss arising from such incidents.

Exhibitors and contractors are responsible for securing adequate insurance coverage both before and during the event. This must include:

Public liability insurance to cover legal liability for injury to persons or damage to third-party property.
Insurance to protect your own property and personnel against loss, theft, or damage.
Coverage against Abandonment, Cancellation, or Curtailment of the event due to circumstances beyond the control of the Organisers.

The Coventry Building Society Arena is a public venue, open to the public until 23:45 each evening, with premises patrolled day and night. However, exhibitors are advised that security measures cannot guarantee complete protection. We strongly recommend that valuables, particularly portable items, are not left unattended at your stand, especially during build-up and breakdown periods.

All incidents involving loss, damage, or injury must be reported immediately to the Organisers Office. Failure to report such incidents may result in insurance claims being refused.

For any security-related concerns or advice, please contact the Exhibition Office. Exhibitors are permitted to employ additional security personnel if needed and contact details for approved security providers can be supplied upon request.

PRIZE DRAWS & COMPETITIONS

If you’re running a prize draw or competition from your stand, clearly communicate any conditions or exclusions (e.g. student ineligibility or restrictions to specific attendees). Ensure these rules are visibly displayed, that your stand personnel are aware of them, and that they are consistently communicated to all participants and relevant visitors.

PHOTOGRAPHY

An official photographer has been appointed for Design in Mental Health and is available for exhibitors to book for stand photography, product showcases, or to capture other activities during the event.

For security reasons, no other photographers will be permitted to operate within the exhibition hall without prior written permission from the Organising Team.

Full Circle offer a range of graphic print and installation services to all Shell Scheme exhibitors. All services are based on artwork supplied by the client. Full sizing and artwork information is supplied. Artwork is required 1 month prior to show build date to enable printing.

SHELL SCHEME STANDS NAMEBOARD

Nameboards will be supplied for all shell scheme stands. If Full Circle does not receive your completed Stand Nameboard Form by the deadline, the nameboard will be produced using the information from your contract. Please be aware that this may differ from the details provided for your handbook entry.
Any nameboard changes made on-site at build-up will incur a fee.

SHELL SCHEME STANDS/ EXTRAS

If you have selected a Shell Scheme stand it will be constructed as specified below. The official Shell Scheme contractor for the exhibition is – Ford & Barley Exhibitions. Shell Scheme stands will be provided in accordance with the following specification.

No alterations may be made to the Shell Scheme without prior discussion and approval of the Exhibition Office.

Walling – The rear and dividing walls are built to a height of 2.5m. Infill panels finished white nylon loop. Please note that lightweight display materials may be attached to the panels using male Velcro.

Fascia – A fascia will be provided on all open sides of a stand. The fascia is a 250mm high and is set 2250mm (2.25 metres) above floor level. The fascia consists of top and bottom rails of aluminium beam section 50mm deep, supported where necessary by 30mm square posts. The fascia framework will be infilled with 6mm flameproof panels. All stands over 4 metres wide will have fascia support posts and ceiling tie bar rails to stabilise the walls/structure. Ceiling tie bars are 2450mm (2.45metres) from floor level to their underside.

Nameboard –  A stand nameboard will be provided on the fascia of each open side of Shell Scheme stands. The nameboard will carry the details submitted by exhibitors using the Stand Nameboard Form.

Stand Extras – A comprehensive range of additional standard items may be hired from Ford & Barley Exhibitions, the Shell Scheme contractor. Items include wall panels to form office enclosures, shelving, display and ceiling panels, etc. Details of available items are given on the order form. Further information may be obtained from Ford & Barley Exhibitions direct.

Orders received after the deadline date may be subject to a surcharge.

Additional fitments – A comprehensive range of standard items, including wall panels to form office enclosures, shelving, display and ceiling panels, etc., may be hired from Ford & Barley Exhibitions. Further information may be obtained from Ford & Barley Exhibitions direct.

All interior fittings for Shell Scheme stands must be contained within the shell stand structure and must not exceed 2.43 metres in height.

SOLVENTS & GASES

Solvents and other substances that have a flashpoint lower than 54ºC (130ºF) are not permitted in the exhibition hall without prior written permission and approval from the Fire Health & Safety Officer at the Coventry Building Society Arena. One day’s supply of flammable spirits can be kept on your stand.

Hazard data sheets should be sent in advance to both Dime Events & the Venue.

STAND CATERING

All food and beverages, and associated catering equipment, must be ordered through the Coventry Building Society Arena Events Team. Should any company attempt to illegally provide their own food, beverages or catering equipment onto the site, they will be asked to remove it.

STAND CLEANING

Stands will be vacuumed daily before the show opens. However, surfaces and exhibits will not be cleaned. Exhibitors are responsible for cleaning and sanitising their own products and display materials.

STAND FITTING REGULATIONS

Exhibitors may employ a contractor of their choice to construct stand interiors and any free-standing displays that may be required. Where a contractor is appointed, the contractor must be approved by the Coventry Building Society Arena and conform to the following regulations that must be observed when preparing a stand.

Shell Scheme Stands

  • Contractors appointed must be registered with/approved by the Organisers and the venue.
  • Contractors must ensure that they can provide, on-site, the appropriate certificate/s confirming that all the materials used in the construction of their stand have been adequately treated for fire retardancy.
  • No part of any structure or exhibit may extend beyond the boundaries of the site allocated. This includes the exhibitor’s name, logo or light fittings.
  • No fitting, display or self-adhesive stickers/signs may be attached to or suspended from the ceiling or any part of the exhibition hall, nor may holes be nailed, screwed, drilled or punched into the walls or floor. If this is ignored, the exhibitor/contractor concerned will be charged for the damage caused.
  • Displays must be self-supporting.
  • Exhibitors wishing to construct a false ceiling on their stand must submit duplicate drawings to the Organisers for approval by the Fire & Safety Authority. Ceilings can only be constructed of a large mesh or egg box material that will permit the passage of water in the event of a fire.
  • In the case of an island site, a long stretch of full height wall of 2.5 metres height will not be allowed on the perimeter of the stand.
  • No flashing/winking lights or neon signs will be permitted, unless they form an integral part of an exhibitor’s product. Sequence-lit displays may be used subject to the Organisers’ approval and the rate of light change.
  • For safety and insurance reasons, only the official electrical contractor can carry out electrical wiring and connections.
  • No services such as electricity cables, water/compressed air pipes, telephone lines inside or near to the stand may be removed, cut or diverted without the permission of the Organisers/Hall Manager of the event.
  • All contractors are expected to clean the stands and remove all construction debris before the official cleaning contractor takes responsibility of the hall.
  • Storage of stand materials and/or exhibits is not permitted behind the perimeter of the stands. This is a Fire & Safety Regulation and will be strictly enforced.
  • Welding and heavy sawing is not permitted inside the hall.
  • Exhibitors constructing/decorating their stands are required to sign an undertaking, guaranteeing responsibility for any damage which may be caused by any of their employees, including appointed sub-contractors, to exhibits and/or property of other exhibitors, Organisers, Hall Manager, Landlord and Contractors of any other person(s).
  • No additional stand fittings may be attached to the shell scheme structure. No nailing or drilling will be allowed. If you require assistance in hanging or displaying your exhibits, please consult the official stand-fitting contractor.
  • No painting or wallpapering on the shell scheme panels is allowed. Exhibitors who wish to have the panels painted must inform the official stand fitting contractor who will provide a quotation on request.
  • Only the official stand-fitting contractor can carry out any changes in colour or type of fascia or floor covering – after approval from the Organiser. The cost involved must be borne by the exhibitor.
  • No financial credit will be given for any shell scheme package item not utilised.

Space Only Stands

  • Contractors appointed must be registered with / approved by the Organisers and the Venue.
  • Full dimensional, 1:200 technical drawings showing the proposed construction methods and materials, positions and dimensions of exhibits and a risk assessment must be submitted, in duplicate and with an artist’s impression, to the exhibition office by 03 October. Original drawings submitted by email are required. No stand may be constructed until these plans/drawings have been approved, signed and returned by the Organisers.
  • Contractors must ensure that they can provide, on-site, the appropriate certificate/s confirming that all the materials used in the construction of their stand have been adequately treated for fire retardancy.

  • The exhibition areas at the Coventry Building Society Arena are not carpeted. Exhibitors can use a carpet of their own, providing a floor flat or plinth is first installed on the hall floor. All space only site areas must be covered with carpet or other suitable material.
  • The Organiser reserves the right to request changes to any back or side wall proposed in a space-only stand design, including modifications to height, position, or structure, if in the Organisers opinion the design may obstruct the reasonable visibility of adjacent stands. Additionally, no more than 50% of any stand’s perimeter may be enclosed or obstructed by solid structures, in order to maintain an open and accessible exhibition environment.
  • All stands must be constructed with back and side-walls other than island sites, which do not require any wall. In the case of a one-corner stand, a back and side-wall must be constructed. A two-corner stand only requires one back wall.
  • Exhibitors are responsible for providing their own walls. Where stands are adjacent, an exhibitor may not use the reverse of the neighbouring wall.
  • Where a structure such as a wall or sign exceeds the height of the neighbouring stand, the exhibitor with the higher wall must decorate the visible portion to a standard acceptable to the Organiser. In addition, the external side of any wall that faces another exhibitor or public area must also be finished to a quality acceptable to the Organiser/Hall Manager.
    Stand signs and towers must not exceed 4 metres in height. Full-dimensional plans must be submitted for approval no later than 03 October.
  • The name and stand number of each exhibitor should be prominently displayed. If this requirement is not observed, the Organiser reserves the right to affix stand numbers as considered fit and to charge the cost incurred to the exhibitor.
  • A space only stand cannot display fascia boards over an adjacent exhibitor’s back and / or sidewall but may display it on any aisle facing their location.

STAND SPACE

We strongly recommend that you, or someone on your behalf, carefully inspect your allotted site and location before beginning any stand construction. This will help avoid unnecessary and potentially costly adjustments. While every effort is made to mark out exhibition areas accurately, occasional errors or unexpected obstructions may occur that are not reflected on the exhibition plans.

Exhibitors and their contractors must ensure all construction work stays within the designated boundaries marked out prior to arrival. If you notice any discrepancies or have concerns, please inform the Organisers immediately and before any construction begins, as this can help prevent costly changes later on.

Please note that any costs incurred from modifications required due to marking errors or unforeseen obstructions will be the exhibitor’s responsibility.

If you find any issues with your allocated site, it is essential to notify the Organisers straight away and before the exhibition opens. The Organisers cannot accept liability for any discrepancies if they are not reported prior to the event opening.

VEHICLE PASSES

Access to the loading bays will be strictly managed due to limited space. These bays are for loading and unloading only—vehicles must be removed immediately after unloading and relocated to a nearby car park – there is plenty of parking at the venue, please ensure you register your vehicle to avoid a PCN.

Parking in the loading bays is not permitted.

To control access, vehicle passes will be issued pre-event and must be clearly displayed upon arrival. Vehicles will need to check in with the traffic marshals, who will record your details. Access to the bays will be granted based on priority, vehicle size, and space availability. While the traffic marshals will work to get vehicles in as quickly as possible, immediate access cannot be guaranteed.

No vehicle will be allowed entry to the loading bays without a valid vehicle pass.
